The Short Version (What You Really Need to Know)
We keep things simple:
- You take part at your own risk and are responsible for your own safety and wellbeing
- A basic level of fitness is needed for all events
Tickets are non-refundable, but you can pass your spot to someone else - Let us know about any injuries, health conditions, or allergies in advance
- Be respectful - we’re here to create a welcoming, positive space for everyone
- We may take photos - just let us know if you’d rather not be included
- If we ever need to cancel (e.g. unsafe weather), you’ll get a refund or transfer

These Terms & Conditions are here to keep things clear, safe, and enjoyable for everyone.
By booking or taking part in any Fresh Air Collective event or coaching service, you agree to the following:
1. General Participation
All events are 18+ unless otherwise stated.
A basic level of fitness and mobility is required.
You are responsible for ensuring you feel able to participate safely.
You agree to attend in appropriate clothing and footwear suitable for outdoor conditions and the activity involved.
By taking part, you acknowledge and accept the inherent risks involved in outdoor, physical, and group activities, and agree that you participate voluntarily and at your own risk.
Fresh Air Collective and any collaborators are not liable for injury, loss, damage, or accidents, except where liability cannot be excluded by law.
Personal belongings are brought and left entirely at your own risk.
2. Bookings, Payments & Cancellations
Tickets and bookings are non-refundable and non-transferable to another date, unless the event is cancelled by the organiser.
You may transfer your place to another person if you can no longer attend; they will be subject to these same Terms & Conditions.
Events will go ahead in most weather conditions.
If an event is cancelled due to extreme weather or unforeseen circumstances, you will be offered a refund or transfer to a future date.
3. Health & Personal Responsibility
By attending, you confirm that:
- You are in appropriate physical and mental health to participate
You take full responsibility for your own safety, wellbeing, and decisions
You will follow all guidance and safety instructions provided
4. Food & Dietary Requirements
Food and drink may be provided at events.
It is your responsibility to inform us in advance of any allergies, intolerances, or dietary requirements.
While we do our best to accommodate, we cannot guarantee an allergen-free environment.
All food and drink is consumed at your own risk.
5. Photography & Marketing
Photos and videos may be taken during events for use across social media, website, and marketing.
If you’d prefer not to be included, just let us know before or during the event.
6. Conduct & Community
Fresh Air Collective is a welcoming, respectful space for everyone.
We ask all participants to behave in a way that supports this.
We reserve the right to refuse participation or remove anyone whose behaviour is unsafe, disruptive, or inappropriate.
7. Activity-Specific Terms
7.1 Where an Event Includes Running
Routes may include roads, pavements, uneven terrain, and public areas.
- You agree to:
Follow road safety guidance, including the Green Cross Code - Be mindful of pedestrians and others around you
- A basic running ability is required (e.g. able to run approximately 2km).
- Dogs are not permitted on running events.
7.2 Where an Event Includes Hiking / Walking
Routes may include uneven, unsealed terrain, farmland, and hills, sometimes with steeper sections.
By participating, you acknowledge:
- The natural risks of outdoor environments
- The possible presence of livestock or horses
- You are responsible for wearing appropriate footwear and taking care throughout.
- Where alternatives are available, you are welcome to opt out of the walk.
7.3 Where an Event Includes Sauna & Cold
Water Exposure
Use of sauna and/or cold water is entirely at your own risk.
You should not participate if you have conditions such as:
Heart, circulatory, or blood pressure conditions
Epilepsy or diabetes
Pregnancy
Any condition affecting consciousness or tolerance to heat/cold
If unsure, you should seek advice from a medical professional before attending.
You are responsible for ensuring you are comfortable in water and capable of handling cold exposure.
You agree to:
- Follow all safety guidance provided
- Limit sauna use appropriately (recommended 5–20 minutes at a time)
- Stay hydrated
Additional rules:
No alcohol or nudity permitted
Respect the shared space and others using it
Take care around hot surfaces and equipment
Fresh Air Collective and partners accept no responsibility for injury or loss related to sauna or cold water use.
Bookings may be changed or cancelled if conditions are deemed unsafe.
8. 1:1 Coaching Services
Nature of Coaching
Coaching is a professional, goal-focused partnership designed to support personal and lifestyle development.
Coaching is not therapy or medical care, and does not diagnose or treat conditions.
Sessions & Commitment
Sessions take place online or in person as agreed.
24 hours’ notice is required for cancellations; missed sessions are considered used.
If the coach needs to cancel, a replacement session will be arranged.
Client Responsibility
You agree that:
- You are fully responsible for your choices, actions, and outcomes
You will engage openly and actively in the process
You may stop coaching at any time (refunds are not typically provided)
Communication
Email support is available between sessions (response within 48 working hours).
Additional support (e.g. WhatsApp) may be included where specified.
Confidentiality
All information shared is treated as confidential, except where disclosure is required by law or necessary to prevent harm.
Liability
No guarantees are made regarding outcomes.
Liability is limited to the amount paid for services.
Nothing in these Terms limits liability for death or personal injury caused by negligence, where this cannot legally be excluded.
9. Data & Privacy
Your data is collected only as needed to support your participation or coaching experience.
Information is stored securely and handled in line with UK data protection standards.
You may receive occasional updates or offers, and can unsubscribe at any time.
10. Final Agreement
By booking or participating in any Fresh Air Collective offering, you confirm that you have read, understood, and agreed to these Terms & Conditions.
